Minimum Requirements:

• 3+ years of Administrative office experience in a fast-paced environment
• Experience working directly with clients in a very warm, caring manner
• Strong computer skills including MS Office Suite
• Basic marketing knowledge to include experience with social media

This position requires that you possess the following skills:

Office Administration and Client Service:
Assisting the Financial Advisors and Team in managing the branch office to exceed client and regulatory expectations include:

• Answer phones & greet clients in a friendly, positive and warm manner
• Order supplies and maintain general office area
• Take detailed and accurate client messages
• Database management
• Sort & distribute all mail, emails and faxes
• Maintain office filing system
• Calendar management
• Assist with industry-specific duties as needed

Marketing Assistance:

• Coordination for all seminars and events to include location coordination, reservations, invites, set-up/clean-up and attendance tracking
• Assist with event presentations and ideas
• Attendance at all seminars and events (evenings required)
• Client relationship building
• Follow-up with Prospects after events
• Appointment setting
• Assist with preparing the Advisor for upcoming speaking engagements
• Call and confirm client and prospect appointments
• Input notes into database of phone calls made and appointments set
• Maintain marketing folder and marketing calendar
• Assist in planning & coordinating client appreciation events and seminars as needed
• Manage Client gift program (birthdays, anniversaries, referrals)
• Assist with compliance of marketing materials
